April 30 Financial Deadlines Ahead
Don't wait, submit early!
End-of-Year Allotment Related Deadlines
Anything purchased during this time (April-June) should be for this school year. Purchases for next school year can begin July 1. If you want to purchase any curriculum for next school year prior to July 1, you need to submit a pre-approval form in advance of purchase. Nothing for 26-27 can be reimbursed until after July 1.
April 30 - Purchase Order Requests Due
If there is anything else that you need us to purchase for you (curriculum, classes, tutoring, etc.) for the remainder of this school year, we need the request to be submitted to our office by April 30 so we can get it processed. If you need curriculum/supplies, you can build a shopping cart and send us a screenshot so we have the details. If you need classes, lessons, tutoring, or anything that involves instruction, fill out and submit a pre-approval form.
April 30 - Reimbursements for Jan-Apr Expenditures Due
- All receipts dated January 1-April 30 (including internet) are due to be turned in on a Reimbursement Form.
- Make sure you check carefully to ensure that your receipt shows both the details of what was purchased (like an invoice) and confirmation of payment.
- Remember to check your internet statement billing date rather than due date so that you don't miss submitting any of your bills that are eligible. Internet statements with the bill date of May 1-June 15 are due by June 15.
New this Year! No More Encumbered Funds Forms -- Hooray!
June 15 - Firm Deadline for May & June Receipts
If you still have educational expenses in May/June, here are the details that you need to know!
- May 1-June 15 reimbursements should be submitted on a regular reimbursement form. No more need to encumber funds for these expenses or submit them in a different way, just turn them in like normal.
- May and June internet reimbursements dated 5/1-6/15 - If the bill for your June internet service isn't available by June 15, families who re-enroll can submit the receipt in July.
- Classes/lessons with receipts dated 5/1-6/15 - This includes expenses for summer camps that take place in May/June which you can't pay for before April and other regularly reoccurring local classes/lessons in May/June that don't bill by the April 30 deadline.
- Recurring subscriptions with automatic monthly billing - Be sure to turn these in once you get the charge, no later than June 15.
- Last minute learning supplies purchased locally - If you can go to the store and purchase what you need to finish out this year, that's fine since you will walk out with a receipt in hand.
What not to do!
- Don't purchase from Amazon or other online curriculum/supply vendors after April 30. There is no guarantee that the items will ship in time for you to receive the necessary receipt for reimbursement by the June 15 deadline.
- Don't submit receipts for camps/classes/lessons that take place after July 1. Those need to be held onto and submitted after July 1 once your 26/27 enrollment paperwork and ILP are done.
- Don't purchase supplies for next school year until after July 1. Early curriculum purchases can be approved, but wait to get your needed supplies for 26/27 until after the school year starts.
