Dear Families,

The safety and well-being of every student is our highest priority, and it guides every decision we make. I'd like to share how our district responds when a situation arises during the school day, and how and when we communicate with you.

How we respond

When a situation could affect the safety of students or staff, we follow established protocols. These can include contacting emergency responders, adjusting building access, and holding or redirecting pick-up traffic. These steps are precautionary. Our procedures are also designed to keep the school day calm and normal for students, so they are not frightened or anxious.

When we send a message

We do not send family-wide messages when an individual student or staff member needs emergency medical or other response. In those cases, the rest of the school day continues as usual and students remain safe and supervised.

We do send a message when a situation affects arrival or dismissal times, or when an emergency at the school could affect your child. In an emergency, we will always get the word out first, as quickly as possible, so you are aware right away. More information will follow once we have it.

Accurate information matters

We want to make sure that only correct, confirmed facts are shared with families. Sometimes that means it takes a little time before we can provide details. Once information has been confirmed, we will update parents as the situation develops.

Timing of notices

Some situations develop with little warning, sometimes right at the start or end of the school day. When that happens, our first focus is on students, and a notice may reach you later than we would like. Please know we always work to get these messages out as quickly as possible.

Make sure you receive our messages

Parents and guardians must have an activated Infinite Campus account to receive these important messages. If you have not activated your account or are experiencing issues, please contact Lori Underwood at lunderwood@hanoverhornets.org or 719-426-8002.

Privacy

Federal privacy law, including FERPA, and district policy prevent us from sharing details about incidents involving individual students or staff members. This applies even when more information might ease a concern, and it protects your family's privacy in the same way.

Thank you for your patience, understanding, and partnership in keeping our school community safe. If you have questions about our safety procedures, please reach out to the school office.

Sincerely,

Mark McPherson

Superintendent
