Topeka Public Schools Foundation

RX Prescription Drug Funding: There are times during the year that educators, paras, families or students struggle to make ends meet. Please remind and promote with your staff that again this year the Foundation has emergency prescription drug funding available. The service is to help staff, students or families temporarily unable to afford their prescription drug medicine.

This is not to be used for over the counter medicines, ongoing prescription refills , utility money, or for those that have access to prescription meds through Medicaid. Keep an eye open for our families and colleagues that might benefit from this assistance. The application form attached can be duplicated and distributed to staff or handed out at your discretion.

TPSF September 13 Breakfast : So many of you have already given an RSVP of your attendance. Thank you! For those of you that have not, please do so in the next week.Today, I was asked by a TPS Board of Education member to request attendees to bring canned food items. The contributions will go to Harvesters as they are struggling to keep community individuals fed. Please consider bringing a can of food. A collection box will be available. Thank you so much!

The TPSF Community Breakfast is Tuesday September 13th at 7:30 AM at Hummer Sports Park. Dr Anderson gives the State of the District address to community business leaders. In addition, the 2022 TPSF Patron Award recipients are announced. As a show of TPS solidarity and community visibility, each school sends a representative and invites another staff member or the school's PTO/PTA president to accompany them. Special building staff only tickets are $40 each. In the past building leaders determine if activity funds or other school funding is used. Send checks to TPSF, Burnett Pod A. The Budget Dept is familiar with this process.

TPSF Education Grant applications are due in the Foundation office NLT September 9. Building leaders encourage your staff to apply or apply yourselves. The Foundation application process is not difficult and application submission does not require prior approval from the TPS internal grant process. We approve up to $40,000 in grants annually. Grant applications can be found at https://www.topekapublicschools.net/departments/tps_foundation/educational_grants.

Elementary EL Services: Please allow your EL teachers time to complete necessary language proficiency assessments before beginning EL classes. The timeframe will depend on the number of students who need to be assessed. Visit with your EL teacher to establish a schedule.

Send this info to Mrs. Curry by September 12: Establish one hour each day that your para will devote to translating/interpreting and send EL para's name/school/time of day to Anita Curry acurry@tps501.org. Other than that hour, EL paras must be working with students. The minutes of service your EL para works with students are reported to our auditors so need to be consistent and accurate.

Instructional Coaches PD Calendar: Please find the Instructional Coaches professional development calendar here. Visible Learning and TPS Learning Walk Dates: This year TPS will continue to conduct learning walks at all sites (2022-2023 Learning Walk Schedule). Sites working with the Kansas Learning Network will engage in learning walks similar to last year, with some adjustments to the experience based on current needs. All schools not working with KLN will engage in learning walks with TPS district staff. The sites working with KLN will continue to work with Karen Flories (Corwin) and those dates have been arranged with her busy schedule. Some KLN coaches will join throughout the year. Please review these dates for your site. Calendar invites will be sent for your school's learning walks. Contact any of the following if you have questions: Mrs. Wallace, Dr. Macdonald, Mrs. Sharp, Ms. Norman, or Mrs. Dick

Kansas Teacher of the Year Nominee: Please send Mrs. Wallace the name of any staff member (certified) that you think would be a good nominee (exemplary teacher) who could be competitive on a national level. Studies Weekly: The fourth-grade Kansas Weekly Studies are ready for delivery to schools. They should arrive at schools by the end of this week or the beginning of next week. We purchased one newspaper copy per student.

One "packet" of newspapers contains magazines for one student for the year. Teachers will receive a "packet" of papers for each student. This will be the newspapers for the entire year. As a reminder, teachers and students also have access to this online AS WELL AS Weekly Studies History- Past and Present.

Below is a video by our Weekly Studies rep that will walk teachers through the online component. Please share the video with fourth-grade teachers.

Weekly Studies Online Component Overview

Please let Robin Dixon know if you need additional magazines for students. She used the most recent enrollment numbers and added two extra. Numbers are continuing to change per building. With that said, if you need more, just let me know!

We are excited about this resource for fourth-grade social studies and hope your teachers are as well! Please let Robin know if you have any questions.

ASQ3 Data: With ONE day to go, we are 85% of the way to our goal as a district of 100% completion by August 31st. Keep sending to families and communicating with Hannah Taylor about any challenges you are experiencing. Two schools are already 100% complete - way to go McClure and Whitson!

Secondary Updates

If you have questions regarding the Secondary Update, please contact Billie Wallace, Assistant Superintendent, Teaching and Learning.

Secondary FastBridge Update: The FastBridge window opened last Wednesday, August 17. All students will take FastTrack Reading in the first two weeks of the window (August 17-August 31). ELA teachers have been directed to complete certification training and administer the screening by August 31. Please make sure teachers with senior mascot times are completing their certification training and having seniors complete FastTrack Reading before August 31. For new teachers and those who need a refresher, here is a brief instructional video on finding the certification training in FastBridge.

Following the initial screening, all students whose reading scores fall below proficient for their grade level will be given CBM Reading for fluency. This additional screener is in keeping with the KSDE dyslexia initiative. Teams will be visiting secondary buildings from September 1 through September 16. Here is the schedule for these team visits. More information on this screener and its implementation will be in next week’s principal’s update.

Kansas Teacher of the Year Nominee: Please send Mrs. Wallace the name of any staff member (certified) that you think would be a good nominee (exemplary teacher) who could be competitive on a national level. From school recommendations, TPS will select one secondary and one elementary nominee. Please have recommendations submitted by Friday, September 9.

How to Request District Secondary Learning Loss Coaches Support: Secondary learning loss coaches will support schools with intensive instructional coaching based on building specific needs, as well as the coaches’ individual areas of specialization. Schools have been assigned a “home school coach” as a go to for various needs. These “home school coaches” have been serving in your buildings since the start of the school year, if one was assigned. After FastBridge CBM testing concludes, secondary learning loss coaches will continue to support the home school, while also supporting other sites and individuals based on reported and requested needs. In an effort to streamline how coaches who are not your “home school” coach are requested, please review the following simple procedure:

  1. All secondary sites will complete this simple “needs assessment” twice a year. This needs assessment is for general, all staff or large group (specific PLC collaborative teams) professional learning/coaching needs. Based on your input, Mrs. Dick (coaching coordinator) will work collaboratively with you and secondary learning loss coaches to design support specific to the identified needs. Please complete this form by September 13, 2022. Only one entry is needed per building for the fall semester.

  2. To request SPECIFIC and TARGETED coaching support for ongoing needs (individuals, all staff, or PLC teams) after completing the general needs assessment above, reach out to Angela Dick through text (fastest way to connect), email, or phone call (x 3246 or cell - preferred). Mrs. Dick will take requests to the team of secondary learning loss coaches to identify coaches with areas of specialization that align to the identified needs.

Contact Angela Dick with any questions. This process was designed to be streamlined and as easy as possible for building administrators to request assistance from the secondary learning loss coaching team. It’s as simple as 1. Complete your building needs assessment, and 2. Contact Angela!

  • 10th/11th Grade: Completing the resume builder is built into the ELA CDM in 10th grade and revising it into a polished and uploaded resume is part of the 11th grade ELA CDM.

R Code: We can continue to utilize the R code for students who complete remote learning while absent from school due to an extended illness (ie, Covid, Influenza, Mono, etc) or being identified as a close contact. Remote learning can be synchronous (through classroom webcams) OR asynchronous (through Seesaw or Google classroom assignments) and requires daily contact from a certified teacher. Teachers will need to track students who have completed remote learning and submit names to the designated office staff entering R codes into Tyler. Attendance spreadsheet is here.

Enrollment: As of today, 12,505 students. Many parents still need to login to complete their free reduced application.

MAP Testing: The Fall 2022 MAP window closes 9/16/22. Please forward any questions/concerns about MAP testing to cschrickel@tps501.org or akipp@tps501.org

SRSS: Secondary principals should email Bob Winkler the period that they want to use as their SRSS screening period for this year. rwinkler@tps501.org

Information Technology Update

If you have questions regarding Information Technology Updates, please contact Mr. Scott Gowan, CIO.

School Messenger Lists: As a reminder, building-specific lists, including school bus lists, are available in School Messenger for you to subscribe. If you have any questions or if you need for us to create a list for you, please send your request through Track-IT so we can help.

HMH Multi-Factor Authentication: Please share with your teams that HMH has updated their platforms and access to those platforms to protect the personally identifiable student information. Instead of authenticating through Google as we did in previous years, students and staff will now be authenticating through Microsoft. For students, this experience is the same as when they log into their Chromebooks, for staff, however, multi-factor authentication is required. If you login to HMH frequently, you can check the box when you enter your authentication code to prevent having to do so as frequently.

Lightspeed Lockout Notice: Please share with your teams that our Lightspeed content filter has a lockout banner that will appear whenever a student attempts five times in one minute to access porn, gambling, or proxy sites or sites with embedded malware. If a student attempts to access these sites with that frequency, they will be locked out of all internet access for 15 minutes. Again, this is a CIPA-compliant strategy to change their behavior of accessing these sites. We just wanted everyone to be aware that this is the only condition that results in the 15-minute lockout, and should result in a behavioral conversation.

Fastest Way to Get IT Support: Please share with your teams that the fastest way to to get IT support is by entering a detailed request through Track-IT. Very detailed notes are most helpful in resolving the issue. You are always welcome to email or call our main office line to follow up on a Track-IT request, but anything that must be assigned to someone on our team can only be assigned within Track-IT, where their supervisors can monitor their workload. Calls or emails that bypass Track-IT ultimately only add time to getting your issue resolved.

Student Charges for Lost or Damaged Items: As a reminder, it is an expectation that charges for any lost or damaged technology items are entered by the building staff into the student's TylerSIS account. These items should also be marked as lost or stolen in Destiny. If an item is returned after being marked lost or stolen, both Destiny and TylerSIS will need to be updated accordingly.

Staff Laptops: As a reminder, Lenovo T490 laptops are issued to certified staff and administrators only. For paraprofessionals, our updated Lenovo L440s are issued to school libraries, and paraprofessionals may check them out. In cases of long-term substitutes in a specific classroom for an extended period of time, a T490 laptop may be offered. Please return any remaining T490 laptops to IT. You may enter a Track-IT for us to pick them up.

New Students: Please share with your teams the reminder that ALL new students must be entered ONLY through the "Student Information" form with online registration process in TylerSIS. If an existing family needs to add a student, please reopen their registration and add a student to the "Student Information" form in online registration. Once that form is marked complete, additional online registration forms will generate for the student. After the online registration is complete for the household, the registration must be submitted and approved before the new student will show in the TylerSIS database. When the new student is assigned to a school, then additional optional e-Forms will be available for the family to complete. Don't forget that the student's email address must be entered into TylerSIS before the student will be rostered in any of our assessments or instructional software.

Free & Reduced Meal Applications: As a reminder, the Household Economic Survey that we used last year has been discontinued, and we are returning to the annual Free & Reduced Meal Application administered through Child and Nutrition Services. Although there is a lot of discussion in Washington, DC about this topic, we are still required to have families submit the annual application to qualify for the program, as well as other at-risk funding programs. The application is now available, and can be accessed through the TylerSIS e-Form or the district's website. Please understand that there is no information in TylerSIS to determine who has completed this form.

Microsoft Office 365: Please share with your teams that Office 365 may require staff and students to re-authenticate the license in order to open Microsoft Office. The easiest way to do so is to open an Office 365 program (MS Word, MS Excel, etc.) from the launcher's applications menu. When it opens, it will prompt you to login with your district Google credentials in order to authenticate. If you do not see a prompt, then you may click the yellow exclamation icon in the top-right corner. This is Microsoft's way of confirming that district licenses are not being used by people not authorized to do so by the district.

TPS Public Wireless: Please share with your teams that we are adopting a new public wireless portal this summer in order to improve security. The BYOD and Public wireless will be going away. For our new TPS Public Wireless access, you will use your network login information to validate that you are authorized to access our network. In order to improve performance, District Devices will have priority on our network and guest devices will need to register to gain access to the internet only. We are hoping that this will significantly improve the experience in classrooms with access points saturated with activity from personal devices.

CyberSecurity Updates: Please share with your teams that we all must work together to protect each other from CyberSecurity issues. Be mindful of any emails asking you to click on unknown links, share personally identifiable information, or save unknown files to your computer or network drives. All of us have the responsibility of protecting the district, so if you are in doubt, verify something before you act on it.

Contractor Accounts Expire: As a reminder, contractor accounts are all set to automatically expire a year after they are requested. Each year, administrators need to request those accounts to be reset for the following year. Here is a link to request or to renew any district network and Google accounts. This link is for any temporary employee such as Contractors or Student Teachers.

FCC's Affordable Connectivity Program: Please share with your teams that the FCC has announced its affordable connectivity program to provide eligible families, a credit of up to $30 per month to cover the cost of Broadband services with various providers, including Cox. Eligible families include those who qualify for free & reduced school lunch, SNAP, WIC, or those with an income level at or below 200% of the federal poverty guideline for family size. Click here for either English or Spanish.

Human Resources

If you have questions related to Human Resources Updates, please contact Deborah Ramberg, General Director of Human Resources.

Personal Leave: With the upcoming Labor Day holiday, and the inquiries to HR around the first five days of school, a reminder about the payment of personal leave for certified staff: Per Article 44 of the Professional Agreement, in part, “Personal leave shall not be used…any time during the first or last five school days of the regular duty year, or the day before or after a holiday, vacation…”

If a certified staff member is absent on one of these blackout days for a reason not specifically outlined in the professional agreement, it does not qualify as personal leave and the absence will be unpaid. You may view the restricted days on the Certified Staff Calendar (with Guidelines for Use of Personal Leave), located on the Staff Site of the district website. This information should be conveyed to your staff.

Classified staff have similar restrictions in regard to the use of personal leave. Please refer to the Classified Guidelines for Use of Personal Leave calendar on the Staff Site of the district website.

Performance Evaluations: The Group Orientation Acknowledgement step for certified staff performance evaluations was due August 23, 2022. Several staff members have not completed this step. You may view the staff members that do not have this step complete on your Perform Ed screen. Please communicate to your staff to complete this step if it has not been done.
