Google Drive Clean Up CHALLENGE

Our Google Drive storage is rapidly approaching its limit, and while this isn’t a mandate, it’s a great opportunity to do a little digital spring (Fall) cleaning. Think of it as a “Drive Detox” — helping both you and the TVUSD stay organized and efficient.

Here’s how the challenge works:
• The goal is to clean out at least 20% or more of your Google Drive storage.

• We have captured all staff Drive information and will run the same report on 11/20/25.

The Challenge Winners:

• The top three individual staff members who delete the largest total amount of Drive storage will each receive $100 toward their classroom budget.
• Site Level: We will look at the largest percentage decrease in Google Drive storage. The top high school will earn $1,500, the top middle school will earn $750, and the top elementary school will earn $500.

This challenge is a fun way to free up space, stay organized, and earn classroom funds for your site.

To Participate you MUST submit this Google Form.

Thanks for joining in and helping us keep our digital workspace running smoothly.

Google Drive Detox Help

Quick cleanup tips:

• Look for large video/photo files you no longer need—these eat up the most space.

• Check for personal photos (Google photos) or videos that may have accidentally synced to your district Drive. Make sure you go to the Google Photos app to see photos that have been synchronized from your device(s).

• Review old or duplicate documents and clear out anything that’s no longer needed.

HERE is a guide created by AI to help you with some simple steps you can take. Or, sign up HERE for a 14 day email series with the goal of getting your Drive organized. Each morning you will be emailed a task to complete to bring you one step closer to Google Drive tranquility. This Google Drive Detox breaks an overwhelming task into smaller steps.

iPad Settings Check

Many problems students are experiencing on their iPad are due to one or all three settings that can be easily changed. Verify these settings before putting in a help desk ticket.

These settings can impact students' ability to navigate to links outside of Canvas, when trying to open curriculum resources like McGraw-Hill and when opening and editing google docs/slides.

1. Settings>Apps>Safari>Block Pop-Ups = Turn this OFF. It should be gray, not green.

2. Settings>Apps>Safari>Prevent Cross-Site Tracking = Turn this OFF. It should be gray, not green.

3. Settings>Apps>Safari>Request Desktop Website>All Websites = On. It should be green, not gray.

‼️Known Issue - MacBook OS Update‼️

If you have a MacBook that was setup without the Microsoft login on startup, you should put in a Help Ticket to have your MacBook fixed to allow for a smooth update to OS 26.

iPads and Logitech Crayons 🖍️

If you currently have an iPad 8 or earlier, you can visit your librarian and ask to exchange your iPad for an iPad 10. When you receive your iPad 10 you should also be given a Logitech Crayon. If your librarian does not have a device and/or a logitech crayon to give you they can put in a request by completing an IMS Help Desk Ticket.

Reminder - Personal Apple or Google Accounts 🍎

Students and staff should not be logged into their personal apple id accounts on MacBooks and iPads. You can verify this information by clicking on Settings>Apple Account. Then, view the email address.

In addition, linking your personal Google account to your district device may also link your Google photos putting personal images on your device.

Magic School SSO

If you are using the MagicSchool rooms with your students AND want students to be able to access their output history, it is NOW an option by turning ON the SSO when you set up your room. Not sure what this means? Need help with implementing this new change with your students? Reach out to a coach to schedule a time to talk about using MagicSchool in a powerful way with your class.

Printing to District Copier on MacBook

Teachers using a MacBook can print to any Sharp copier in the district. This feature is available through an app called PaperCut. You will print like you always do from the File Menu of the application that you are using. After selecting print, the print dialog box will appear allowing you to select your printer. You will want to choose TVUSD - Find Me Printing Copiers. Select the number of copies that you need and click Print. Following these steps will send the job to the copy machine. You will then have 3 hours to go retrieve the job. Walk up to the copier. Enter your employee id to login. Then select Print Release. Select the job/s and tap Print. All done!

Click HERE to watch a short video of these steps.

This link can be put into Seesaw or Google Classroom at the elementary level and Canvas for secondary. Or, if you want to be fancy, you can even create a QR code with this link! Watch THIS VIDEO to see how to create the template link to share in the way that works for you.

Pear Assessment

Kiosk Mode on iPads does have a workaround for students to exit if a test is not finished in one class setting. There are several steps in the process. Click here for a video guide. The complete guide to Pear Assessment Kiosk Mode is linked here and contains a written step-by-step of the process as well.

Speech to Text is currently not working in Pear Assessment on both the iPads and Chromebooks. They are aware of the problem and Pear Assessment is working hard on a fix in early November.

Canvas Speedgrader Class Sections

At the start of this year, the Canvas Speedgrader switched their functionality when switching between sections. This change caused difficulties for many, as multiple sections seemed to appear at once. They have changed the section view in Speedgrader so that you will select which section you want to view and then select “apply.” This change is a significant improvement. Click here for a brief tutorial video.

Wayground (formerly Quizizz) Integration with Canvas

To create a Canvas Wayground assignment, follow these steps from Canvas Assignments: select Submission Type > External Tool > Wayground. This will enable your assignment to be accessed by students in Canvas, and scores will be synced with the Canvas Gradebook.

In addition, be aware that students must access Canvas through Safari on iPads when accessing your Wayground activity. **Please have any student that has the Wayground app installed on their iPad to remove it.**
