Speakingof EMISEMIS Newsletter, OCTOBER 2019

Check your FD and FS errors regularly.

See below for instructions on how to find those reports. If you need assistance, contact your EMIS representative or email: emis@cps-k12.org

WITHDRAWALS

1. FS: Do not create a new FS record. Enter the IRN of the district you are withdrawing to.

2. Attendance: clear meeting attendance back to the day before the start date on the records request or ODDEX record.

3. Enrollment Functions: Withdraw using the correct code.

4. Enrollment History: check and adjust (if necessary) the entry and exit dates.

HOW TO PRINT COGNOS REPORTS

To print Student Data Audits, FD, and FS Cognos reports, log into Cognos. A link to the website can be found on the PowerSchool landing page in the left-hand column. The Student Data Audit report is found in the PowerSchool folder. FS and FD reports are found in the EMIS Audits folder.

To print, run the selected report and wait for it to load. Using the dropdown menu on the earth icon, choose the desired application. .PDF will allow you to print the report as displayed on your screen. View in Excel Options (Excel 2007 or .csv) allows you to download the information and manipulate it for further reporting.

JOB CORPS

When a student withdraws to Job Corps, be sure to ascertain accurate withdrawal information. Job Corps offers diploma programs: Cypress and Penn Foster. A student pursuing a diploma at Penn Foster should be withdrawn with a code of 40. A student withdrawing to Cypress should be withdrawn with a code of 41. Students may be withdrawing to a diploma program, and should be coded appropriately.

ENROLLMENT GAP ERRORS

Many schools have “enrollment gap” errors on their PowerSchool audit reports. Typically, this is because of dating errors on the Enrollment History page. Check that the entry date is before the exit date on the Enrollment History page. (You may have “inherited” this error from the previous school.) For all CPS transfers, be sure that the exit date of the Previous Enrollment (the last day the student was in the prior school) is the same as the entry date: the first day the student was in your school on the Current Enrollment.

PRINCIPALS' CORNER

MANDATORY TRAINING FOR CLERICAL STAFF: Next week will be training for all district EMIS support specialists—administration has mandated that all clerical staff attend every training. The schedule for 2019-2020 EMIS Training is attached to this newsletter.

GRADUATE REPORTING: 2019 graduation data is being reviewed for submission to ODE on October 18. High school principals and their staff will be hearing from the EMIS department in an effort to ensure that the cohort is reported accurately.

AUDIT REPORTS: We are seeing a significant number of EMIS and PowerSchool errors in weekly audit reports. We are happy to help resolve these issues. Feel free to reach out to EMIS staff members for help in correcting these errors.

EMIS Training October 22 & 24 Agenda

Plan to join the EMIS department on October 22 for elementary schools, or October 24 for high schools and Central Office staff. Remember to register on the new Unified Talent web page (LINK) using your Mayerson username and password. You will see that the login page is now titled Unified Talent. Once you log in, the landing page will look just as it always has. Search for EMIS Training and choose the appropriate session.

The day before you come to training, please print out your FD and FS errors to bring with you. They are available as Cognos reports in the EMIS Audits folder. Log in to Cognos, and select the EMIS Audits folder, then the FD FS Tabs folder. Your error lists are there.

In addition to working one-on-one with FD and FS errors, we will be talking about a new attendance code you will be using when a student returns from an absence with a note from a doctor or dentist. This code should not be used until you have the physician’s note in hand. Instead, you will go back to attendance and change the code when you receive the official excuse. Remember to scan and attach the note in PowerSchool, for audit purposes.

By now, you should be checking ODDEX regularly to look for students in your No-Show section. All state of Ohio public school districts and charter schools have reported their students. We will go over how to search for students in ODDEX next week.
