Building Tech updates
Power towers have been installed in Student seating areas and Conference rooms.
Announcement TVs have been set up all around Collings Hall.
In addition to the Lobby TV there are now TVs at the following locations:
- 2nd floor by lab
- 2nd floor by West stairs
- 3rd floor by vending
All of these TVs are on the same Digital Signage system managed by the JRCoE College Operations Team. Fill out the form below to request something to be posted on these TVs.
Aristotle Shared Drives Migration
OU Shared Drives (Aristotle) will be migrated to a new vendor sometime in 2026, dates TBD, although if anyone would like to be moved now that option is available.
The biggest impact for the college will be the way the drive is mapped. Anna and Wyatt will be coming around to make sure the map address on your device will work under both the old and new systems.
OU IT has requested your assistance with cleaning up files for this migration. If you've ever moved you know that it's best to clean out your closets, garage, pantry etc so you aren't moving items you don't want in the new location. Same idea!
- Cleanup old/duplicate files
- Move personal files from file shares to OneDrive
- Anything collaborative can be moved to Teams or SharePoint
- Keep in mind that videos and pictures are very large and will impact your storage costs
AI-Proofing your exams: Digital and Analog Strategies to Support Authentic Assessment
Anna Moore, Technology Strategist and Dr. Amy Mueller, ILAC presented at the Academic Tech Expo Friday Jan 16. They spoke on AI proofing exams where they explored practical strategies for designing assessments that are resilient to student AI use.

Cybersecurity Training Engagement Survey
As part of our continued effort to build a stronger cybersecurity culture at OU, we’re reviewing the current training experience, and we want your feedback
8 question survey. About 10 minutes. SSO included.
Anyone can take the survey.
Garner Health Cyber Tip
If you use Garner Health and choose direct deposit, please turn on two-factor authentication to help protect your banking information, as it is not set by default. Two-Factor Authentication (2FA) is a security method requiring two different verification types (factors) to access an account, adding a crucial layer beyond just a password to prevent unauthorized access, typically combining something you know (password) with something you have (phone code, security key) or something you are (fingerprint, face scan). This extra step protects sensitive data by verifying your identity more robustly.
Change to Local Admin Rights
One of the most common avenues of cybersecurity attacks is through the use of Local Admin Rights on university-managed computers.
What is Changing?
OU will be introducing Endpoint Privilege Management (EPM) on all university-owned computers. Permanent local administrator rights will be removed in favor of a temporary elevation process.
This change aligns with National Institute of Standards and Technology (NIST) standards and best practices adopted by leading institutions and government agencies.
For most, the impact will be minimal. Most academic and administrative tools are cloud-based, and OU IT will continue to support access and updates through managed channels. Additionally, OU IT will provide temporary elevation of privileges when needed.
When is it Happening?
Pilot phase: December 2025 (IT staff and early adopters)
Campus rollout: Spring 2026
FAQs:
Q: Will I still be able to install my own software?
Yes — most common software will be available in Software Center. For other software, there will be a process to request temporary admin access when needed.
Q: What if my research or teaching tools require constant admin rights?
Some specialized roles may qualify for exceptions. Contact OU IT Support to review your needs.
Q: Who can I contact with questions?
Reach out to OU IT for support or to learn more about the rollout timeline.

Vulnerabilities Mitigation
Vulnerabilities are weaknesses in systems, software, hardware, or human processes that attackers can exploit to compromise security.
JRCoE IT has been tasked by OU IT to focus on addressing the vulnerabilities on University owned devices of unpatched software or software updates. These are most often seen in operating systems, web browsers, MS Office apps, and Adobe apps.
Around the 1st of the month JRCoE IT will be reminding JRCoE staff and faculty to restart their OU assigned device, and to check for updates. Around the 15th of the month we will be reaching out to individuals whose devices have been flagged as having specific issues.
PING ID tips
OU IT requires the use of PingID for 2 factor authentication to access OU systems and applications. This is a standard cybersecurity measure, and is usually set up with a mobile phone and an app.
It is recommended to set up a secondary backup authentication method in case you do not have access to the first method. You can also setup a backup device that isn't a mobile phone, such as a tablet or computer.
If you are planning to get a new phone it is recommended to setup your new phone before you no longer have access to the previous phone. Once you no longer use the previous phone you can remove it from the list of Ping devices.
The following article from OU IT details all of these steps.

Classroom Improvements
In the effort to constantly improve, all JRCoE managed classrooms have had some updates to enhance the teaching and learning experience for college instructors and students,
On each podium is a QR code to request classroom assistance. Last fall every classroom got a digital clock mounted to replace the analog clocks. These clocks auto update for DST. All classrooms also have a tethered usb-c adapter and a slide presenter. Please keep these items in their assigned classroom.
Classroom desktops were out of compliance and so were removed from classrooms. This provides more room on the podium and allows instructor to see students better. Per the OU standard most users should have a laptop to connect so other classrooms on campus have also removed the desktop. However at JRCoE Ififthere is a need for a laptop we will provide one to stay in the room.
All JRCoE managed classrooms now have wireless HDMi capability. This allows for any device with an HDMi port (Windows or Mac) to wirelessly cast to the TVs in each classroom, instead of being tethered by a wire to the podium. Simply plug in the HDMi transmitter (pictured above) to your device's HDMi port, and the usb power supply into a usb port connected to power or to your laptop, then select "Instructor Desktop" from the input touchpanel. You can then have the device with attached transmitter anywhere in the room. We are working on a way to use these in OU IT managed classrooms.
The aging SmartBoards in Classrooms 139, 165, 170, and 334 have been replaced with standard 75” monitors. OU IT Asset Disposal is scheduled to pick up the old ones soon. We are also needing to get the touchpanel programmed to turn on the new monitors, so until then please use the provided remote to power it on.

Syllabus/Canvas Promo for Collab Lab - please share!
JRCOE IT is based in the Sandra O’Brien Collaborative Learning Hub (CollabLab), which is located on the 2nd floor of Collings Hall in room 244 (at the top of the main stairs take the first right through the glass door and the lab is at the end of the hall). The Collab Lab is open when Collings Hall is open. Lab spaces have powered tables and are available for group work and screen sharing, as well as an area for quiet study. Use the WEPA printer in the lab for color and B/W printing and document scanning, and limited printing using the poster printer. All JRCOE students get $15 a semester in WEPA credits (form here: bit.ly/3YUcEnL). We also have Loaner tech, Maker Space and Ed Tech available to checkout – find the list and reserve items at this link: bit.ly/3ZeTOsQ. All sophomore and above JRCOE students get a free iPad to keep at graduation, and as part of this partnership with Apple all students can earn their Apple Teacher Certification (info here: bit.ly/3YP7A40).
ADA TITLE II – Digital Accessibility Compliance Requirement
All digital materials, web content and mobile apps must comply with WCAG 2.1 AA standards for digital accessibility by April 24, 2026.
WCAG 2.1 AA refers to the Web Content Accessibility Guidelines version 2.1 at the AA conformance level. It provides a framework for creating accessible digital materials, including 50 criteria that must be met to ensure usability for all users.
Efforts for this are led by Accessibility Compliance Taskforce and their initial focus is public facing websites and teaching/learning materials like Canvas.
