Zoom Authentication

Questions & Answers

ZoomAuthentication Questions & Answers

What is Zoom Student Google Authentication?

To allow for enhanced security, students can become "authorized users" which means they will have to log into their Google (SMMK12) accounts to access their classroom Zoom link. This ensures only students or SMMUSD staff is entering a meeting. The display names will match those of the student on the Google account so teachers know exactly who is entering their classroom.

Does support staff require Google accounts?

Yes! For support staff like instructional assistants or paraeducators to have access to an authenticated meeting they will need a Google (SMMK12) account.

What if support staff does not have a Google account?

Any SMMUSD staff member can request a Google (SMMK12) account through the Help Desk.

Help Desk Site: https://helpdesk.smmusd.org/helpdesk/WebObjects/Helpdesk.woa

Username: SMMUSD email (example: skerkotchian)

Password: SMMUSD password

Do students need their Google accounts?

Yes! Students will need their Google accounts. Families have received an email earlier in the year with their child's email and temporary password. This is the same sign in information they use to log onto Clever.

If a teacher needs a list of student emails, please check the report in Illuminate created by Arielle Gleicher.

Does the authentication work on all devices?

Yes! Students as well as staff can authenticate when signing onto a Zoom meeting from a computer, tablet or smart phone.

We recommend using the Zoom web-page when logging on whenever possible. The Zoom site is https://zoom.us/

Does this change anything in the meeting view on Zoom for the host?

No. Nothing will change on how your meeting will look when you are the host. The change is for the participants who have to sign in via Google to authenticate themselves before entering the meeting.

Why should we turn off the feature for participants to rename themselves?

When participants are authenticated via Google they will be signed in using the name associated with their account. It will be the first name, last name of the participant. This helps to ensure hosts know who the participants are entering the Zoom meeting. Many students are using family devices and the name defaults to the device name. The authentication process will help with this as the display name on Zoom will be that associated with the Google account not the device. Also this ensures no participant can rename themselves to something inappropriate.

Can teachers sign on with multiple devices to monitor breakout rooms?

Using the authenticated sign on allows a host to sign on via 3 devices simultaneously. This includes one computer, one tablet and one cell phone.

Teachers can also create a basic account using their district (SMMUSD) email and then sign on using that to monitor breakout rooms.

What will happen when there are parent meetings?

As with many of the features on Zoom, authentication can be turned on or off. If you are creating a new link for parent meetings/conferences, simply do not choose the authentication option. If you are using an existing meeting link, edit the options to uncheck the authentication feature. This can be changed as you see fit.

What happens when there is a guest presenter or parent volunteer?

If there is someone who will be joining your meeting and they do not have a district Google (SMMK12) email account, please turn off this feature in your Zoom meeting link by clicking the "Edit" button and scrolling down to "Meeting Options". This will allow anyone to join as before. You can turn the feature back on once the presenter is finished or the volunteer is done working in the online classroom.
