Reminders/Repeat Information Below:
Bookkeeper
Meetings with the Bookkeeper
With planning periods being spread throughout the entire day – I’m trying to make myself available to you all with questions, etc. I’m finding that multiple teachers are popping in during the same planning period(s) and I have to turn someone away (eek!).
If you need to meet with me for something that may take longer than a few minutes – please consider scheduling time with me. You are not required to schedule time, but it will help to ensure my focus in on your needs without interruption.
To make this as easy as possible for everyone – you will now see a link in the signature line of my email that says: Book time with Zapata, Brenda.
The attached instructions will show you the easy steps to schedule a meeting.
Making purchases for the school (using the school credit card or requesting a reimbursement check)
Just a friendly reminder -the process hasn’t changed for school purchases:
- You must complete a Requisition form in advance of your purchase. I would suggest completing the form and getting it to me at least 2 days prior to the purchase as there could be a delay in the review/approval. Speaking with Haga and getting a verbal approval does not meet the District requirements; we have to have the form as well.
You can’t make your purchase the same day you submit the form. The District considers this an accounting error.
The Requisition Form Guide will help you determine which Requisition form to fill out.
The District has strict requirements for these forms – black or standard blue ink only, not scratch marks, white out or doddle through errors or over tracing a letter/number to try to fix the error (complete a new form).
I have completed examples of each form hanging outside my office and with the blank forms near the mailboxes (copy machine side). Please don’t take the examples.
- You must use a tax exemption form with your purchase. This applies even if you are using your own credit card and seeking check reimbursement. Let me know where you are planning to purchase and I can get a tax exemption form for you.
- Tipping is a gray line. If you have a question about tipping, please ask prior to the purchase and we can discuss the District policy as it relates to your purchase.
The District is getting stricter with auditing the paperwork submitted so if there is an error with the form or a correction that needs to be made – I will reach out to you to have a new form submitted.
