This week: Google Drive and 4 tips to help clear up that cloud! β›…β›…

#1: Use consistent naming conventions #1: Use consistent naming conventions

A red name tag with the text "HELLO, MY NAME IS" written in bold, black letters. The space for the name is empty, represented by a squiggly line. The background is purple.

Once you have your folders, make sure your files are named in a way that's informative and easy to scan. Include key information like the subject, topic, date (if relevant), and type of document. For example: 6th Sci. - Photosynthesis Lesson Plan - Oct 2024 or 7th Math - Solving Equations Worksheet. Consistency here will save you a lot of time when searching.

Keep them short but meaningful to you and your teammates. Keep it short, simple, and straightforward. Extraneous words like β€œand,” and β€œthe” are not necessary.

#2: Regularly review and archive old files #2: Regularly review and archive old files

Two characters are looking at a computer with confused expressions. One says, "The files are in the computer?" The scene appears humorous, suggesting they misunderstand how digital files work.

At the end of a unit, semester, or school year, take some time to review your files. Archive anything you no longer actively need but might want to keep for future reference. You can create an "Archive" folder for each year or subject. This keeps your main working Drive clutter-free while still preserving important materials. Consider deleting truly outdated or irrelevant files to free up space and reduce digital noise.

Don't know where it goes right now? Toss it in the Archive folder!

#3: Share mindfully and manage permissions #3: Share mindfully and manage permissions

A man sitting on a couch exclaims with a serious expression, "Joey doesn't share food!" The scene appears comedic, emphasizing the character's strong stance on not sharing his food.

To be honest, most people don't need editing access to files you own. If they do, you better check!

When sharing files and folders with colleagues or students, be deliberate about the level of access you grant (Viewer, Commenter, Editor). Regularly review who has access to your shared items and adjust permissions as needed. This prevents accidental edits or unauthorized access and keeps your digital space secure and organized. You can easily see who has access to a file or folder by right-clicking on it and selecting "Share."

#4: Schedule regular "Digital Declutter" time #4: Schedule regular "Digital Declutter" time

A man with a surprised and exaggerated expression looks directly at the camera while rapidly pointing to himself. The background appears to be indoors, possibly in a kitchen or office setting.

Just like you might tidy your physical classroom, schedule recurring time to actively clean and organize your Google Drive (once a month, at the end of each unit, or at the end of quarter). This proactive approach prevents things from getting too messy and makes the task less daunting than a massive overhaul. Even dedicating 15-30 minutes regularly can make a big difference.

Try Focus Time in your Google Calendar to block it off for you so that others don't infringe on it!
