Citywide PTO Monthly Newsletter
March 2026
October 2026 Newsletter
Welcome, Fall!
We hope everyone had a wonderful start to the 2026–2027 school year!
As the leaves begin to change and fall gets underway, our schools are entering a busy season of fundraisers, community events, and school activities. We wish all our PTOs, PTCs, and PACs successful events and fundraisers, and most importantly, a wonderful year of bringing families together!
Exciting News from Citywide PTO
We're proud to share that Quincy Citywide PTO has officially received 501(c)(3) tax-exempt status from the IRS.
What this means: we can now accept tax-deductible donations, qualify for employer matching gifts, and apply for grants and business sponsorships that support families and students across all 19 Quincy Public Schools.
Please note: this status applies to Citywide PTO only. Individual school PTOs are separate organizations and are not covered.
What's next: check back in the November newsletter for ways to give. In the meantime, find out whether your employer offers matching gifts. It's one of the easiest ways to double your impact.

We would love to join one of your monthly school-wide meetings to share:

Thank You, Lindsay, and a Call for Our Next Recording Secretary
The Quincy Citywide PTO is saying goodbye to our Recording Secretary, Lindsay Robertson, who is stepping down from the board. Lindsay kept our records through the work that led to our 501(c)(3) status. That behind-the-scenes work is what keeps an organization running, and we are grateful for all of it. Thank you, Lindsay!
We're looking for someone to step into the role.
The Recording Secretary is a voting member of the Executive Board and keeps the official record of the Citywide PTO. Responsibilities include:
Recording minutes at monthly general meetings and Executive Board meetings, including vote counts and outcomes
Sending meeting notes to the Co-Presidents within one week
Helping the Co-Presidents prepare and distribute meeting agendas
Maintaining an organized archive of approved minutes, agendas, bylaws, and official communications
As a registered 501(c)(3), we rely on accurate minutes to document our decisions and keep us in good standing as a nonprofit.
The role can also be shared. Two people can serve as co-secretaries if they agree to split the work.
How to apply: Email pto.citywide@gmail.com by Friday, October 9 with your name, your school, and a line or two about your interest. Per our bylaws, the Executive Board will vote on the appointment at its next scheduled meeting. The appointee will serve through the May 2027 election.
Haven't made it to a Citywide meeting yet? Candidates should be active members who attend meetings regularly, so join us at our next meeting on Tuesday, October 15 and get to know the group.
Accessibility and SMore
Quincy Public Schools serves families who speak more than 70 languages.
Language accessibility is important to making sure every family can receive and understand school information. QPS uses the Smore online newsletter creation platform to communicate information to families in multiple languages. Many PTOs/PTCs/PACs also use Smore for newsletters and announcements.
Important accessibility reminder: PDFs and images cannot be translated by Smore.
When sharing a flyer, PDF, or image, we encourage PTOs/PTCs/PACs to also include the important information as text in the Smore newsletter. This can help make school communications more accessible to multilingual families.
Celebrating Our PTOs, PTCs & PACs
Building Connections!
PTOs, PTCs, and PACs are a lifeline of connectivity in our schools. From supporting curriculum enhancements and classroom needs, to organizing community events and activities, our parent and caregiver volunteers give countless hours to make these opportunities possible.
A huge thank you to every PTO, PTC and PAC volunteer who has signed on to share your time, energy, and dedication to supporting our students, educators, and families. Your work truly makes a difference!
Share Your Events!
We want to help families across Quincy stay connected with school events.
We invite all PTOs/PTCs/PACs to share events that are open to all members of the QPS community so we can include them on our community calendar.
Sharing events helps families plan ahead, participate in more activities, and helps schools and organizations maximize resources and avoid scheduling conflicts.
