A Message From the Principal A Message From the Principal

Hello Hawks,

It is a short week for students due to district Fall Testing Day and Fall Parent Teacher Conferences. If you would like to attend Arena Style Conferences please join us in the upper commons and main gym. These conferences are meant for a quick, five minute check-in with the teachers of your choosing. We will begin at 4:30pm and finish at 8:30pm.

You may also desire a more private conference and elect to sign-up for an individual conference with your child's teacher(s). Links have been sent out by teachers and directions on how to sign-up are included below.

Fall conferences are an important part of our school year. Checking in on your child's progress, learning what is still to come this semester and talking about enrollment for the 26-27' school year are all important topics. Ask teachers what your child's strengths include and what improvement suggestions they may have to share. We love seeing families face-to-face and I encourage your participation.

Due to Fall Testing Day, school will end on Wednesday, October 14th at 11:10am. Busses will all run this day. Lunch will not be served. Any student who arrives later than 7:45am on Wednesday will not be permitted to interrupt testing by entering the room late and will need to bring something else to work on through dismissal. Please see the below information on what your child needs to bring depending on what test is being taken. Seniors are excused this day.

Look forward to seeing you all conferences this week!

Students need to arrive to school with a calculator, pencils, and a snack and water if they choose. If your student is taking the PSAT or ASVAB they need to also bring their charged laptop with the charger. Students will find out their testing room location from their advisory teacher starting Oct 12th.

Students must be in their testing room ready to begin testing by 7:40 AM. Any student who arrives after 7:45 AM will not be able to enter the testing room and will need to have something to work quietly on in the cafeteria. Attendance Information Attendance Information

For all day absences

To report an all-day absence, please call or email the attendance office at the numbers listed below. If you do not get the office notified by the end of that day, you have 48 hours to excuse (not counting weekends).

Does your student need to leave early?

Please call or email 1 hour ahead of time to make a pass. This time frame allows us the proper time to make the pass. Please leave last-minute pass requests for emergency situations. It is also beneficial to check your student's schedule on ParentVUE to avoid requesting passes during PE, Performing Arts classes, or their lunch time. We are unable to send passes at these times due to the teachers not being able to activate them.

Make sure your student knows how to use E Hall Pass on their laptop or the app on their phone. It is your student's responsibility to notify their teacher that they have a pass and check out on time. We are not allowed to let students leave without guardian permission.

Student pick up is at the Front Entrance with the circle drive, Door A. If your student drives, they still need to sign out with attendance. We need all students to sign out before leaving the building. Please make sure your student knows this. If they do not sign out, they may be counted unexcused for that class.

Last minute requests via email or voicemail may not be answered in time due to the high volume or requests we receive. Please give as much notice as possible to avoid having us calling classrooms and interrupting valuable instructional time.

Is your student going to be late?

For any late arrival, please let us know via phone or email.

Received a Red Flag Alert?

If this was an all-day absence, please send us an email or leave a message on the “Other Attendance” line and we will get them excused.
If the alert was for a single unexcused absence during the day and your student believes it to be an error, please have your student send that teacher an email via StudentVue, or talk to them in person during that hour. The teacher will reach out to Attendance to have it corrected.

Thank you,

Jennifer and Sara

Leaving for a "During the School Day Appointment" Information Leaving for a "During the School Day Appointment" Information

Will your student need to leave the building during the school day?

1: Make sure your student knows how to get to E-Hall pass. They can access it through ClassLink, download the E-Hall pass (Surly) App, or access www.e-hallpass.com on their browsers. Have them see Mrs. Shackelford or Mrs Bedwell,at the attendance desk, if they are having any issues. They will have to show the electronic pass on their phone or on their district device to their teacher to leave the classroom. Make sure you have communicated, with your student, that they have an appointment or are leaving early so they can look for the pass.

2: Please call or email at least 1 hour before you need the pass for your student. This allows us plenty of time to process their E-Hall pass. Please check their schedule ahead of time on ParentVue. If they are in PE, Performing Arts, or at lunch, it is going to be very difficult to reach them. Let us know what time you need your student to leave their classroom. This is the time we will make the pass.

3: When arriving to pick up, pull up to the circle drive and wait in your car. Your student may leave after signing out with the attendance office. If you arrive early, you may have to wait as their pass won't trigger until 5 minutes before the time you’ve requested.

4: If your student drives, they still need to sign out with attendance. We need all students to sign out before leaving the building. Please make sure your student knows this. If they do not sign out, they may be counted unexcused for that class.

Last minute requests via email or voicemail may not be answered in time due to the high volume of calls. Please give as much notice as possible to avoid having us calling classrooms and interrupting valuable instructional time.

FAQ's on Appointment Passes FAQ's on Appointment Passes

Due to the new cell phone law, access to E-Hall Pass will look different for returning students. Please see the below to help ensure a smooth and efficient process if your child needs to leave during the school day for an appointment.

FAQs

1. How will the new cell phone policy affect E-Hall Pass?

This school year, Olathe East will use E-Hall Pass for student appointment passes. Students enrolled in Performing Arts classes (such as Choir, Orchestra, or Band) and Physical Education will receive a paper pass instead, as these classes may not have immediate access to E-Hall Pass during the school day.

To help ensure your student receives their pass on time, please notify the Attendance Office of appointments as early as possible. Advance notice gives our staff time to prepare and deliver passes, especially during busy periods when multiple students have appointments.

2. Why is it helpful for my student to know about an appointment ahead of time?

Knowing about an appointment in advance helps your student prepare for leaving class with minimal disruption. We encourage students to let their teacher know at the beginning of class that they have a scheduled appointment during that hour and will be leaving with an E-Hall Pass. This allows the teacher to review and approve the pass before it is time for the student to leave.

Students in Physical Education and Performing Arts classes will receive a paper pass to present to their teacher before leaving.

3. What if my student needs to leave unexpectedly?

If your student needs to leave school unexpectedly, the Attendance Office will prepare a paper pass and have it delivered to the classroom by a student aide.

Please understand that pass delivery may take several minutes, particularly during busy times of the day. Our staff will make every effort to deliver the pass as quickly as possible.

4. What if my student becomes ill during the school day?

If your student becomes ill while at school, they should report to the Health Room and speak with Nurse Nancy Johns. The nurse will assess your student's condition and determine whether they should be dismissed from school.

If it is determined that your student should go home, the Health Room will contact a parent or guardian to arrange dismissal and pickup.

5. Does E-Hall Pass need to be downloaded on my student's district-issued device? How and when will students learn how to use it?

No. E-Hall Pass does not need to be downloaded. Students can access it through ClassLink, which is available on the home screen when they log in to their district-issued device.

During the first week of school, all Olathe East students will receive instruction on how to access and use E-Hall Pass.

6. Will my student receive a notification about their appointment, or do they need to check for it ahead of time?

Students will automatically receive email notifications approximately 20 minutes and 5 minutes before their scheduled appointment.

Students may also log into E-Hall Pass at any time to see if an appointment pass has already been created for them. We encourage students to check E-Hall Pass periodically throughout the day, especially if they are expecting an appointment pass.
