Subtitle: How AI Can Help You Sound Polished and Professional — Fast

🎬 Slide 1:
Welcome back to AI in Action for Educators!
Today we’re looking at a super practical use of AI — writing better emails in seconds.
We all know how much time can go into crafting the perfect message — especially when the topic is tricky. AI can help you sound polished, professional, and positive — fast.

💬 Slide 2:

Let’s be honest — we’ve all been there: sitting at your computer, trying to find the right words for an email. You want to be clear but kind, firm but friendly.

You also know that most people either don’t read the entire message, or skim it quickly to try to get the information as fast as possible. Life is busy, and hundreds of new emails appear in our IN Boxes throughout the day. It’s impossible to spend much time with any of them.

So when you want to get your message out by email, AI can help.

It won’t replace your judgment, but it can take the pressure off getting that first draft written.

In addition, it can help format your email with bullet points and clear, concise language - making your email easy and quick to read; much more likely to be read at all.

💻 Slide 3:
Here’s a great starting prompt you can try in ChatGPT or Copilot:

“Write a friendly, professional email to a parent whose child is missing assignments. Be positive and solution-oriented.”

When you enter that, AI will generate a full draft email. It may not be perfect — but it gives you something to edit instead of starting from a blank page.

You can even say something like,

“Make it sound more like me,” (or make it sound like a 5th grade teacher.)
or
“Use a warm but professional tone.”

✏️ Slide 4
The real magic happens when you start to refine your prompt.
Try adding directions like:

  • “Make it more encouraging.”

  • “Add a call to action.”

  • “Shorten it to 100 words.”

This is where you can shape the message to sound exactly how you want it to — friendly, concise, and professional.

🔒 Slide 5
Sometimes an email arrives that we know requires a longer, more thoughtful response, but we’re just not sure how to frame it. These are the messages that can be misinterpreted. How often would we rather reply with a sarcastic response, or one that lets our frustration show through. Being careful to remove any personal information (such as the child’s name or parent’s name), simply copy the entire message and paste it into ChatGPT or another AI tool, and ask for an email responding to this email. You can fine-tune it, by asking AI to make the response professional, positive, or even “not sarcastic”. Then edit the email for your own use.

🔒 Slide 6
A quick but very important reminder — never include student names or identifying details when using AI tools.
Instead, use placeholders like “the student” or “a 6th grader.”

Think of AI as your writing coach, not your messenger. It can improve tone, clarity, and structure, but you should always finalize and send the email yourself.

And as someone who accidentally sent a reply with extra characters or a word or two that I didn’t intend to include - read the entire email one more time to make sure it only includes the message you want to send.

✅ [Slide 7
Here’s the big takeaway for today:

With a quick AI draft, you can focus on the relationship, not the wording.

Use AI as your assistant to get started faster — but keep the personal touch that makes your communication uniquely yours.

Next week, we’ll look at another great use of AI — improving your classroom materials to make them clearer and more engaging for students.
