West Sylvan Middle School
2026 ~ 2027
October 18, 2026
Dear West Sylvan Families,
Our hearts are heavy as we are thinking about the horrible tragedy in Bend and the impact on that entire community. Our thoughts are with the children, families, educators, and community members in Bend. We recognize that news of school violence may affect people differently. Some families may have personal connections to the Bend community or experiences of violence or loss that this news brings to mind. There is no single response to expect. At school, we will maintain familiar routines and instruction while responding to students who have questions or need support. If your child brings up the news, consider asking what they have heard, listening to their questions, sharing brief age-appropriate information, and limiting repeated exposure to upsetting images or videos. Children do not need to discuss the incident if they do not wish to talk. If your child would benefit from a private school check-in or your family has questions about available support, please contact our School Counselors, Mr. Ricky Almeida, ralmeida@pps.net or Ms. Rebecca Cohen, rcohen@pps.net. We will continue to respond thoughtfully to the needs of our students and families.
As we were first learning of the tragedy in Bend, we had our first Performing Arts night of the year with our Community Sing event on Thursday night. Thank you to all of the families who joined in the fun evening, and events like that are such a strong reminder of our beautiful community and all of the talent of our young Scholars! Also, Friends of West Sylvan hosted the Friday Coffee Talk for October with our amazing School Counselors, Ms. Rebecca Cohen and Mr. Ricky Almeida, presenting on some parenting topics related to middle schoolers. Thank you to all who joined! A slidedeck from the Coffee Talk is linked here.
Next week is our first Spirit Week and also our monthly Early Release, on Wednesday, October 21st. Please plan that your Scholars will leave campus at 1:45 p.m. that day. If Scholars ride buses, plan on seeing them at bus stops about 2 hours and fifteen minutes earlier than usual. There is no Early Release in November due to the week off of school that month. We also have our make-up Picture Day on Thursday, October 22nd for anyone who was absent for the first Picture Day in September, or who enrolled after that date. This is not an opportunity for retakes, just a date for those Scholars who never received a school ID.
Dr. Jill Hunt, Principal
Ben Keller, Assistant Principal
Communications related to the upcoming school year will continue to come from both our West Sylvan and PPS district team with regular updates. Be sure that you have activated your settings for receiving alerts through ParentSquare, including the ability to receive communication by text, if you prefer. You can also set the frequency of notifications for posts, either Instant or Digest. The Digest setting sends all non-time-sensitive posts at the end of the day, reducing the number of notifications you receive daily. Please remember that if you set that time preference, you may not receive all messages at the same time as others in the school community.

The first family night will be this coming week, on Thursday, October 22nd from 6:00-7:30pm. Administrators and School Counselors will present to families, some Performing Arts showcases are planned, and our 8th grade Packleaders will help our guests tour the school building and answer questions throughout the tours. Future students of all grades are welcome to join with their adults!
ATTENDANCE COUNTS!
Our schoolwide positive attendance rate is currently still at 94% of Scholars attending school over the last five school days! We would sure love to see that percentage get even higher! Please make every effort to schedule appointments and vacations around school days so that our Scholars are present every day! Early Release Day afternoons, occurring once per month, are a wonderful opportunity to squeeze in those orthodontist/dentist/doctor appointments, whenever possible, and there are two days off at the end of October when our Educators grade and plan for the new quarter when appointments could be scheduled so that no school is missed. The yearly calendar is here for pre-planning and scheduling.
๐ School Clubs and Affinity Groups
*always under construction! Please click here to go to the West Sylvan website for details and information about our student groups.
Houselessness and hunger are a very real issue in Portland that impacts members of our West Sylvan Middle School community. Many of these families need help with meals over the Thanksgiving and Winter Breaks when free school meals aren't available. Please consider volunteering your time and/or resources to help make someoneโs holiday brighter!
WE WOULD LIKE TO SUPPORT 30+ FAMILIES IN OUR WSMS COMMUNITY THIS YEAR FOR BOTH THANKSGIVING BREAK AND WINTER BREAK!
*FOR THANKSGIVING BREAK, baskets of non-perishable holiday and general food items will be created to help families feed their children during the vacation week along with a gift card for perishable food. Volunteers are paired with an anonymous family they will shop for using a suggested shopping list. Food Basket drop off will be at West Sylvan Middle School on Friday, November 13th (time TBD).
*FOR WINTER BREAK, FoWS will use donated funds to purchase gift cards to support families.
Food Baskets and gift cards are distributed confidentially by the West Sylvan Counseling Department.
Want to help? Thanks! There are two ways to support:
- If you would like to volunteer and shop for a Food Basket for a family, please contact coordinator Jessica Kirkland at wsmsholidayfood@gmail.com.
- Prefer to support financially? Donate $ towards gift cards for Thanksgiving Break perishable items and Winter Break support here.
Any questions, please email wsmsholidayfood@gmail.com or hi@friendsofwestsylvan.org.
CAN WE HELP YOUR FAMILY?
If you are a family that would benefit from some extra help this holiday season, please reach out to your student's Counselor. We would love to support your family and make your holiday a little brighter!

PLANNING AHEAD FOR 2027-28 SCHOOL YEAR
Weโve had a few inquiries about scenarios that may be more common than we know, so we want to share information very early for families who may need to prepare for next school year (2027-28) for enrollment in your desired PPS school.
If you formerly petitioned to attend WSMS for your Scholar who is an 8th grader now, and WSMS is not within your current resident boundaries, you need to petition to have your Scholar continue to Lincoln High School next year. You would do that through a hardship petition.
For 8th graders who reside outside of the WSMS boundaries, the one exception for high school is for the Dual Language Spanish Immersion students. If you reside outside of WSMS boundaries, you are automatically allowed to continue to the DLI Spanish program which moves to Lincoln High School, as long as your family still resides within PPS boundaries. If you have moved outside of PPS boundaries, see the next bulleted item.
If your family has moved out of PPS boundaries, you will have to petition for your home district (the school district in which your address is located) to release your student to continue in PPS for 2027-28. Then, PPS has to accept your student to continue with our District in your desired school. You can find details about this information on this website. Any previously approved releases from your district of residence to remain in PPS are still honored, as long as your Scholar is in good standing with their school (positive attendance and no major behavioral issues).
NEIGHBORHOOD TRAFFIC AT PICKUP
Requests for safe pickup from WSMS:
Encourage your Scholar to use the bus for transportation whenever possible. The fewer vehicles picking up, the better for our entire community and for the environment.
Park in the school parking lot if you arrive on campus prior to 4:00pm, not in the surrounding neighborhood.
Follow rules of the road, speed limits, and parking rules. BPD may cite you if you violate these rules. BPD officers have started issuing citations for our visitors who continue to ignore these requests.
Do not block neighborsโ driveways, or idle in front of their homes, to wait for Scholars.
Take your time! Students may be picked up from 4:10-4:30pm, and youโll avoid most traffic. That is a far better plan!
EARLY STUDENT PICK-UP
Picking up your Scholar from school early? If a Scholar needs to leave school before 4:00 p.m., we do need you to please come into the office, show ID, and physically sign out your Scholar. We want our Scholars to be in school for the entire school day, but if you need to pick up early, please make every effort to pick up prior to 3:30 p.m. so that our team can attend to your request with ample time before the school day concludes.
๐ BUS Transportation
Does your Scholar need to ride a different bus after school?
A bus change that will be a regular occurrence can be requested through a โhitcherโ pass on the PPS Transportation website. For changes that are sporadic or less consistent, please send a note providing permission for your Scholar to ride that alternate bus at westsylvanoffice@pps.net. Scholars who are assigned to those buses for their home routes have priority over Scholars who are trying to ride alternate routes (i.e. going to the MAC, Lincoln HS, or to a park for sports). Requests for your scholar to ride an alternate bus must be received prior to 3:30pm on the day of the change in order to communicate properly.
ABSENCE REPORTING THROUGH PARENTVUE
Families are now able to submit both full day and partial day absences (such as late arrivals to school, or early student pick-ups) through ParentVUE!
Log in to the ParentVUE website on your computer or download and open the phone application.
(Note: You are not able to use your browser on your phone to report an absence in ParentVUE).
- Look for the blue "Report Absence" button to the right of your student's photograph in the app or click Attendance when on the website to find the blue button.
- Select whether the absence is All Day, Arrive Late, or Leave Early.
- Select start date, end date (only if more than one day) and a reason from a drop-down list.
- Add a note if needed.
- Remember to click SAVE and you should receive a popup confirmation.

๐ฑ Staying Connected
PARENTSQUARE (for messaging)
Portland Public Schools uses ParentSquare for communication with families. An introductory video is here to familiarize yourself with this application. This means text messages, emails, and calls from the school and from your childโs Teachers will be delivered via ParentSquare to the contact information currently in our system. If you set a time on the application for message delivery, some messages may be delayed until the time that you have determined.
PARENTVUE (for viewing Student attendance, grades, etc.)
Update your contact information in ParentVUE or through westsylvanoffice@pps.net throughout the year if your email, address, emergency contacts, or cell phone number changes, as all school communications are connected to your information in ParentVUE.
New versions of the ParentVUE and StudentVUE apps must be downloaded to continue using the apps to access student information. When asked to select your district, Parents and Students will need to find Portland Public Schools (NOT West Sylvan) using the 97227 zip code and then it is important that Parents select "Already Activated" when prompted. You will use your same ParentVUE User ID and password to log in.
Please click the following links for detailed instructions on downloading the newest version of the ParentVUE app for Android users and iPhone users. Be sure to select the app with (New) in the title, which you can download from the Google Play Store or App Store for iPhone.
๐ค Eighth Grade Community Projects / Fundraising
FALL PIE FUNDRAISER FOR CHOIR (NOW until October 23rd)
For the third year, our choir program is partnering with The Willamette Valley Pie Company to raise money to help fund our program. Proceeds go to sheet music, classroom materials, concert attire, field trips, and more! All funds that go to our choir program go directly to the students.
All choir students have order forms with menus and prices. If anyone is interested in ordering a pie or cheesecake, you need to pay with cash or check upfront. Then the order is submitted at the conclusion of the fundraiser on Friday October 23rd.
All pies are delivered to the school on Friday, November 13th and are available for pickup from 3pm to 7:30pm. If you have a pie to pick up, make sure you know the name of the student who sold you the pie as that is how order sheets are tracked.
Please contact Mr. Hellman at khellman@pps.net if you have any questions.

Early Release Dates
** NEXT EARLY RELEASE ~ WEDNESDAY, OCTOBER 21st **
Please calendar the monthly Early Release dates this year, which are listed below. On Early Release Days, all Scholars are released at 1:45 PM, and Staff are in meetings beginning at 2:00PM, meaning we will not be available to supervise any Scholars who are not picked up on time. Buses will drop Scholars off two hours earlier than usual.
Early Release dates for the 2026-2027 school year:
Sept 16th - Oct 21st - Dec 16th - Jan 20th
Feb 17th - Mar 17th - Apr 21st - May 19th
Personal Electronic Device Policy
WSMS continues to be a NO cell phone zone from 9:00 AM - 4:00 PM daily. This is a policy that we have had at WSMS for the last four years, and the state legislation and PPS School District board policy also align with our expectations. We request and advise all families to keep Scholarsโ cell phones at home during the school day. If you must send your Scholar with a device, please use the parent control features to turn off access to all social media. Our school team assumes no responsibility for devices sent to school. We will not exhaust resources searching for lost or misplaced phones, as we have asked that they not be at school or used during the school day.
If a Scholar brings a cell phone to school, they will be asked to store their turned-off phone in their locker and have it out of sight throughout the entire school day (including lunches). Important messages can be sent to our main office via email (westsylvanoffice@pps.net), and will be forwarded to your Scholars through classroom phone calls. District policies related to electronic devices and other Administrative Directives can be found on the PPS website.
VOLUNTEERS
Interested in volunteering and being more involved?
Become an approved PPS volunteer by following the information here. Once your application is approved, please contact the Main Office to see how and when you can be of service or just come to campus, and weโll show you how you can be of service. If you would like to work in a classroom, please arrange that directly with the Educator(s) prior to arriving on campus. We can always use extra help in our School Library, in our Main Office on Wednesday mornings, and during school recesses. Family members may also volunteer to run clubs with students during Advisory time.
Friends of West Sylvan
Get involved in Friends of West Sylvan! If you are a new family member at WSMS, we are still looking for as many adults as possible to join in our parent organization (our version of a PTA), Friends of West Sylvan! You can connect with current members at: https://www.friendsofwestsylvan.org/
We could not do so many fun things for our students without the dedicated family members and your partnership! Both board members and anyone looking for a way to help out are all welcome!
FRIENDS OF WEST SYLVAN is a dedicated group of parents building community, supporting staff, and creating meaningful experiences for our scholars. The FoWS website is the place to go for most information, but if you ever have questions or are interested in lending a hand with our all volunteer crew, please email us at: hi@friendsofwestsylvan.org
TO CREATE YOUR FoWS ACCOUNT:
- In order to take advantage of our activities over the school year, please be sure to login to www.friendsofwestsylvan.org and get your account set up. All events will be run through this system.
- If you previously had an account, you'll be prompted to update your information upon logging in. If you are new to West Sylvan or didn't set up an account before, you'll be asked to create one. Just use your email that you provided to PPS and that will link to your family information.
- Once logged in you can determine whether you would like to be included in our family directory and what information you would like to share. Our directory requires login to access, so it's not available to the public. Any questions? Email us at hi@friendsofwestsylvan.org
